Administrative Assistant/ Concierge

Reports To: Business Office Manager/ Executive Director Department: Administration FLSA Status: Non-Exempt Job Summary: Administrative Assistant / Concierge will be the face of Bowman Place at Olde Bedford to greet all visitors, residents and guests cordially and assist them. Will also assist residents with questions and needs. The lead concierge will fulfill front desk responsibilities as directed by the Business office Manager. · Collect meal payments and reconcile at end of shift · Maintain minutes and monthly reports · Complete inquiry sheets · Maintain marketing brochures and updating them on a need basis · Aware of daily census and status of residents in hospital or moving out · Understanding the Life Line System and how to direct an emergency call · Take work orders for resident maintenance issues · Schedule hair and nail appointments for residents · Maintain resident and guest books · Create various forms and charts for different departments upon approval from Business Manager · Make flyers for upcoming events · Assist with, manage resident/guest sign-in and sign-out procedures · COVID-19 Screenings, maintaining adequate screening logs Marketing Responsibilities: Support the Sales and Marketing Department Audit competitor advertising in local newspapers and maintain updated files Stay up to date on local events (health fairs, town celebrations) and participate as needed Lead Concierge/ Administrative Assistant / Executive Assistant pg.2 With proper training: assist with/screen initial contact call ins when Director is unavailable (answer & ask questions, RSVP, send out brochures, gather contact information, schedule tours and follow up with Director) Hand off warm/hot leads to Director Support for events: Maintain RSVP list for all events Confirm attendance Help set up, check in, and provide support at events Support Activities: Assist with the coordination and execution of engagements Assist with appointments/van transportation OSHA Exposure Control: Category 2: Tasks that involve no exposure to blood, body fluids, or tissues, however, due to the nature of this work, the performance of Category 1 tasks may be necessary. Marginal functions of the position (those that are incidental to the performance of fundamental job duties) have not been included.
