**Administrative Assistant** **Requisition ID:** 2022-8529 **Position Type:** Full-Time **Schedule Shift:** Day **Hours Per Week:** 38 **Travel:** None **Category:** Administrative/Office Support **Overview** The Didactic Administrative Coordinator is a member of the Touro University College of Education and Health Sciences Joint MSPAS/MPH Program staff. Primary responsibilities include initiating and coordinating the clerical, administrative and secretarial functions required for the effective implementation of the Physician Assistant Program with a specific emphasis on the admissions and academic (didactic) component of the Program. **Responsibilities** Reception and initial point person with regard to welcoming students, faculty and other visitors to the Program; answering phones and taking messages Performs general administrative tasks including but not limited to written and verbal correspondence Maintains strict confidentiality with regard to student and faculty records Follows and implements policies and procedures as established by the Program Attends the Program Meeting, Didactic Curriculum Committee, Student Promotions Committee, and other assigned meetings, taking minutes and making them available within 2 business days Represents the Joint Program at the Master Calendar, Sunshine Committee for CEHS, EMS Optimization Project meetings, and other assigned meetings. Updates class schedules on a daily basis as needed Assists with campus-wide IPE day and research day, as needed Responsible for organization of White Coat Ceremony including fitting of the coats, ordering and picking up plaques and decorations Works with the Office of Admissions on CASPA applications Distributes applications and review forms to faculty Tracks application review results and notifies the Office of Admissions Works with the Office of Admissions and the Chair of the Program Admissions Committee to organize Interview Days Participates in the Interview Day process Notifies the Office of Admissions of the results from Interview Days Attends monthly program admissions meetings and maintains minutes of all admissions related activities Event Coordination Coordinates and organizes events, conferences, workshops, and meetings Makes arrangements for presenters, location, travel, equipment, lodging, and food service Identifies target audience and sends out appropriate advertisements Maintains communication with speakers, vendors, and participants Orders, prepares, and assembles event handouts and related supplies and materials Organizes and supervises registration and event set-up Coordinates event timelines Assists in the review and compilation of workshop evaluations Works with program analyst to perform follow-up activities including surveys and reimbursement of services Specific Ongoing Tasks Assisting the Program Director Maintains Program Directors appointment and meeting schedule Processes graduate credentialing, licensing and reference paperwork for Program Directors signature Processes mail Other duties as assigned. **Qualifications** Bachelors degree or the equivalent of three years experience in a related field Computer skills, MS Office 365 (Word, Excel, Power Point, Outlook), Outlook & Google Calendar Internet Searching Abilities including Google Calendar Recommended Familiarity with the following Web publishing Excellent communication and interpersonal skills with the ability to address different audiences (i.e., applicants, students, faculty, staff) Highly organized, self- starter with a strong attention to detail Ability to maintain strict confidentiality **To apply, visithttps://tuccareers- touro.icims.com/jobs/8529/administrative- assistant/job?in_iframe=1** _Touro University is an equal opportunity employer.
