Assistant Property Manager / Office Manager / Executive Assistant

Small private real estate firm specializing in residential property management and investment seeks a uniquely qualified person for a high-visibility administrative support position. The qualified candidate shall report direct to the owner of the firm and provide daily administrative support, including but not limited to the following property/office management responsibilities: • Interfacing with tenants, dealing with maintenance, processing move- ins/move-outs, performing various aspects of property leasing • Overseeing and managing the tenant lease renewal process and all related paperwork • Creating and managing all the company’s marketing and advertising campaigns for the recruitment of new tenant prospects • Promoting and advertising properties for lease using various methods including the company web site and other online resources • Interacting with outside brokerage offices and fielding customer phone calls with the goal of facilitating and performing showings of properties to prospective tenants • Dealing with outside vendors and contractors • Scheduling and coordinating with the company’s in-house maintenance staff • Overseeing all accounts payables and receivables by developing complete proficiency in the company's property management and accounting software system • Tracking online payments • Bank reconciliations • General administrative duties to include supply ordering, filing and receptionist tasks Required Experience & Skills: Only applicants possessing the following skill sets will be considered: • Knowledge of basic accounting principles with accounts payable/receivable experience • Buildium or other similar accounting software packages a must. • Ability to use online search engines to research unfamiliar topics and gather information in support of business operations • The ability to demonstrate professional telephone interaction with customers, clients and vendors • Strong interpersonal skills • Exceptional listening skills • The ability to successfully and efficiently multi-task on a daily basis is essential • Above all, the successful candidate must exhibit an exceptional commitment and attention to detail and take pride in one’s work • A minimum of a 2-year Associate's Degree is required • Must be comfortable working in a small office environment • Candidates living within the Bridgeport/New Haven area strongly preferred
