Construction Office Manager

- Maintain company email boxes and incoming/outgoing email communication - Assist Project Managers as required, including: locating plans, specs, contracts - Set up meetings and schedule appointments, arrange and confirm - Maintain website and Facebook updates, subcontractor database, and basic newsletter updates - Procure and manage office supplies - Prepare project documents, including but not limited to, bid invitations, memos, letters, permit -applications, agendas, call lists, meeting minutes, and schedules - Assist in subcontractor bid process - Track and follow up on close out documents - Put together close out documents and provide to client - Maintain subcontractor insurance certificates - Enter and maintain work orders - Maintain customer contact list including email distribution lists - Experience as Administrative Assistant with construction industry experience - Excellent interpersonal, verbal and written communication skills - Detailed and organized - Professional demeanor - Ability to multi task - Proficient in various types of office equipment -This job description is written to the best of our knowledge as of the date of this document.
