We are looking for a responsible, professional, flexible, mature Executive Assistant who will serve as the primary administrative assistant to the director of our growing Regenerative Medicine Clinic in Walnut Creek. Position starts part-time and will rapidly grow into ¾, then full-time. Key Responsibilities include (but are not limited to): • Organizing and proactively maintaining calendars, including scheduling meetings, with tact and integrity • Project management, including implementing systems which support efficient scheduling • Tracking and approving timekeeping for team • Employment ad placement/Management of hiring campaign to completion • Coordinating travel arrangements and logistics (Air, hotel, rental car…etc.) • Managing med presentations schedule, including seminar room booking, and managing budgets • Tracking and compiling advertising performance statistics • Account management of vendors, including ordering, and coordinating product supply/demand • Recording and filing of corporate minutes • Managing the procurement of office supplies and other departmental needs • Supporting ad hoc project work as directed by leadership • Managing phone calls, mail correspondence Skills and Qualifications: • 2+ years professional experience preferred • Expert level of written and verbal communication skills • Proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required • Commitment to ongoing learning and development • Demonstrate the ability to take the initiative, foresee problems, and recommend solutions • High level of integrity required for handling sensitive and confidential information • Demonstrates flexibility with schedule congruent with the growth of our clinic • Ability to exhibit diplomacy and respect when communicating with patients/individuals • Demonstrate the ability to work efficiently with both autonomy as well as within a tightly integrated team Starting pay rate: $30 - $35/hr. with the expectation to move into a salaried position.
