Position Title: Marketing and Event Coordinator
Reports To: Executive Director
Location: Anchorage, Alaska
Employment Type: Full-Time (40 hours/week, Monday–Friday with occasional evening and weekend hours)

Position Summary
The Alaska Airmen’s Association is seeking a highly organized, dependable, and customer-service-oriented Marketing and Outreach Lead to support the day-to-day administrative operations of our dynamic aviation-focused nonprofit. This full-time, in-person position plays a key role in ensuring smooth internal operations, delivering exceptional member service, and supporting aviation events throughout the year.
A background in general aviation or familiarity with Alaska’s aviation community is preferred but not required.
Key Responsibilities
Administrative & Office Support
Oversee daily office functions: phone calls, email, mail handling, reception, and scheduling
Prepare and format reports, letters, meeting materials, and other communications
Manage digital and physical filing systems to ensure accessibility and organization
Assist the Executive Director and team with scheduling and administrative tasks
Transponder and Newsletters
Oversees and manages the production of the quarterly Transponder newsletter and monthly digital newsletters
Develop a content calendar and ensure all deadlines are met.
Edit and proofread content to ensure it meets the publication’s standards of accuracy, style, and tone.
Coordinate with designers to ensure the layout, typography, and images align with the publication’s vision and aesthetic.
Manage the printing process, ensuring print deadlines are adhered to and quality standards are met.
Supervise and coordinate with freelance writers, designers, photographers, and other contractors.
Act as the point of contact for advertisers, managing the submission process for ad content.
Review, approve, and format submitted ads, ensuring they meet the publication’s technical specifications.
Track and manage ad placements throughout the production cycle to ensure timely insertion.
Process and track advertising payments, ensuring that invoices are sent and payments are collected in a timely manner.
Maintain and update records of advertising accounts, contracts, and payment statuses.
Graphic Design & Visual Content Creation:
Design and create graphics for merchandise, including t-shirts, hats, and other promotional items.
Develop graphics and visual assets for the association’s website, ensuring consistent branding and engaging design.
Produce event signage, banners, and promotional materials for aviation events, conferences, and trade shows.
Collaborate with the marketing team to ensure all graphic materials align with the association’s mission and visual identity.
Create digital and print advertisements, flyers, brochures, and other marketing collateral as needed.
Work with vendors and printers to produce high-quality merchandise and promotional materials.
Community Engagement and Membership
Support outreach efforts through email campaigns, newsletters, and social media (via platforms like Constant Contact)
Help coordinate facility use and rentals for aviation-related events and meetings
Maintain and grow relationships with existing and potential members, donors, and stakeholders.
Respond to membership inquiries and process new applications and renewals
Event & Program Coordination
Provide logistical and administrative support for programs, scholarships, and events such as the Great Alaska Aviation Gathering
Track event registrations, maintain attendance records, and assist with volunteer coordination
Participate in event setup, execution, and breakdown—occasional weekend work is required
Help ensure successful implementation of event branding and design materials.
Qualifications
Prior experience in office administration or nonprofit coordination required
Background in general aviation or familiarity with Alaska’s aviation industry is preferred, but not required
Excellent organizational skills with a high level of attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, OneDrive) and Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
Experience with QuickBooks, Adobe products, Canva and Constant Contact is a strong plus
Utilize Adobe Creative Cloud products (InDesign, Illustrator, Acrobat, etc. or similar) to support document and graphic design needs
Professional, positive, and customer service-oriented demeanor
Able to manage multiple tasks independently and with discretion
Strong written and verbal communication skills
Occasional lifting (up to 50lbs) and physical setup for events required
Work Schedule & Conditions
Full-time, in-person role: Monday–Friday, 40 hours per week
Evening or weekend availability required during major aviation events
Office located at Lake Hood in Anchorage
