Position Summary The Marketing Production Specialist is responsible for ensuring a smooth workflow of all projects across the Marketing department. This position maintains, optimizes, and aims to improve upon internal processes to ensure projects meet established deadlines, production procedures, quality standards, and budget requirements. Serving as the gateway for incoming projects, the Marketing Production Specialist partners with a variety of teams – Product Marketing, Web & Digital, Organizational Communications, Community Engagement and Creative Production as well as external vendors to support efficient routing, production, and on-time delivery. This role also maintains the traffic project management system and keeps stakeholders informed of project status updates.Job DescriptionPRIMARY DUTIES AND RESPONSIBILITIES
Maintain and support the project management system to ensure accurate tracking, workflow consistency, and enforcing process adherenceEffective time and project management, including the ability to track 100+ active projects and manage the logistics of all projects being completed on timeMonitor team capacity and balance workloads to optimize production efficiencyServe as the primary contact for print and mail vendors, including pricing exercises to ensure competitive quotes.Coordinate mailing data lists with print vendors, ensuring accuracy, data integrity, and timely executionPerform final quality reviews to ensure error-free output prior to production releaseManage daily deliverables while maintaining accurate and complete records of all active and completed projects within the project management systemPartner with Compliance to ensure regulatory requirements are metContribute to weekly production status meetings by providing accurate project updates and supporting effective workflow planningFoster positive and effective working relationships across teams and manages stakeholder expectations regarding timelines, priorities, and production constraintsContinuously evaluate and improve traffic workflows, intake processes, and production efficienciesStay current on industry trends and make informed recommendationsEmployees are expected to work consistently to demonstrate the mission, vision, and core values of the organization.
POSITION QUALIFICATIONS
Education:
BA/BS or equivalent combination of education and experienceExperience:
5 years of advertising/marketing experienceHealth care and/or not-for-profit experience preferred3+ of advertising agency production and traffic experience preferredKnowledge:
Strong background in marketing, advertising, production and/and traffic managementDemonstrated knowledge of print production and direct mail management processesSkills:
Knowledge of production and scheduling management systems, with familiarity in graphics and production terminology and processesWorking knowledge of print production, direct mail and postage regulationsBroad understanding of marketing and advertising principles and campaign executionProficient in Microsoft Office Suite, general computer applications, and project management toolsVerbal and written communication and presentation skillsExceptional project management and communication skillsAbilities:
Highly developed organizational and time management skills, with the ability to manage job schedules and meet tight deadlinesStrong attention to detail, including proofreading and quality control experienceProven ability to manage multiple priorities, adapt to changing demands, and adjust workload as neededExcellent communication and interpersonal skillsAbility to exercise independent judgment and anticipate needsStrong relationship-building and stakeholder management skillsProblem solving skillsThis position is not eligible for immigration sponsorship.
